Meet Volunteer Positions and Responsibilities

                Swim Team is NOT a Spectator Sport

      It takes a small army of dedicated, enthusiastic parent volunteers to make the season fun and successful.

    It takes roughly 40 volunteers to run a swim meet. Most positions require you to only work one shift. A shift is half of a meet – events 1 to 43 or 44 to 86. Each event may have a number of heats. Some positions have you right on the deck where all of the action is – announcer, timer, judges, recorders and deck manager. These volunteers see it all. Other positions like computers and concessions are not quite in the thick of the meet but do allow for volunteers to “steal away” to watch their swimmer’s events.

We need each family to volunteer a minimum of 4 shifts.  For families with 2+ swimmers, please volunteer for 6 shifts.  


Computer Operator

Manages scoring/entry software throughout the meet in coordination with opposing team

BBQ Grill

Responsible for preparing hot dogs and hamburgers prior to the start of the meet to be sold at the concession stand.

Deck Manager

Receives swimmers from the bullpen leaders and organizes them on deck by heat and lane into chairs in advance of their event. The last line of defense at the blocks to check and make sure the right swimmers get into the right lanes. - good in stressful environment, patient and organized

Place Judges

Watch each race and write the order of finish on their provided heat sheet. Compare notes with place judge from other team. Ask referee to break ties, otherwise that place will result in a tie.

Judges Recorder

The home team will supply a judge’s recorder. Acts as the clerk for the place judges. Records the official order of finish as agreed upon by the place judges onto the place judges form. Provides the completed place judge form to the master recorder.

Timers

Requires two volunteers/lane. One person operates the stopwatch the other person records the times from the stopwatch onto the lane timer worksheet. Communicate those times to the Master Recorder.

Master Recorder

Takes the completed place judges form from the judges recorder. Goes from lane to lane to record the times for each swimmer on that form. Takes the form to the computer table. - high step count for this job!

Ribbon Writer

Place labels on ribbons and puts them into the team organizer. These ribbons will be passed out to our swimmers at practice.

Bullpen

Responsible to keep kids in their bullpen throughout the meet. Get kids to the deck manager (behind the blocks) prior to the start of their event. Help to ensure they line up in the right heat and lane. All relays for 6, 8 & 10 and under are 4x 25 yard relays so swimmers in the #2 & #4 starting position on the relay will start from the non block end of the pool and need to be escorted to their position by the Bullpen worker.

Concession Volunteers

Home Meets Only. Organize and sell food items to raise money for the team. This includes set-up or clean-up, depending on shift.

Substitute:

The Substitute will be “on-call” in case a volunteer is in need of a replacement. As an alternate volunteer, you may be contacted prior to the meet by the scheduled volunteer needing a replacement or during the meet to replace a volunteer who doesn’t show up to work.

Meet Clean-up

The entire team is responsible for clean-up and tear down of the pool
